Overview:
The Investor Relations Support & Junior Project Manager is a hard-working individual with excellent organisational skills and a keen interest in event management and financial markets.
This role is responsible for assisting the Global Project Manager in the process leading up to the business’s EU conferences from inception to implementation and post reporting. This is a crucial role for the successful execution of the Investor Relations yearly strategies; therefore diligence, self-motivation and organisation are key skills.
The position reports into the Executive Director, Head of Investor Relations, Europe & Middle East and to the Global Project Manager. It involves working closely with the Global Project Manager, the global Investor Relations (audience development) teams, the event Programme Directors, the Client Services team, and the Logistic Managers. Day-to-day work involves a wide range of tasks to help ensure our events run smoothly, including but not limited to supporting the Investor Relations team in relationship engagement and cyclical administrative duties.
Main responsibilities:
- Responsible for having an overview of various events from start to end and communicate progress
- Updating, CRM system Salesforce
- Liaising with institutional investors from Europe’s largest asset owners to obtain all registration requirements prior to events
- Drafting and sending retentions to attendees registered for an event and calling them to ensure they have received details or ask them to complete registration forms.
- Monitoring the use of registration forms and managing the process of corrections
- Scheduling conference panel calls with Asset Managers and Institutional Investors
- Assisting in the organising of seating plans for investors and asset managers based on preferences
- Organising the booking of travel and accommodation for investor guests and assisting with other logistics tasks
- Set up launch meetings providing a skeleton timeframe, milestones, and their due dates
- Compiling Investment Profile Reports and other material needed ahead of upcoming events
- Keep a clear record of delegate travel and hotel costs in excel for every event
- General assistance to the European Investor Relations team making sure they have the tools in place to successfully execute the conference: create and check registration forms, ensure smooth delegate journey.
- Assisting in providing post-event data, documentation, and materials for other departments
- Leading the IR coordination efforts for the digital events
- Assist the global Investor Relations teams to source content and for Allocator Intel Community
Requirements:
- Outstanding organisational skills, working in a systematic manner
- A background in Business Studies/Administration, Marketing or Consultative Selling (Highly desirable
- 1-3 years’ experience in business support or events coordination
- Strong written and verbal communication skills; confident working hands on with different departments conveying the right message and needs
- Tech savvy, good computer skills (especially Excel and Outlook)
- Knowledge of Salesforce or a similar CRM (Desirable)
- Proficiency in Qualtrics, Boomset, Pardot and other event planning related CRM tools (desirable)
- Reliable and trustworthy, comfortable with delivering against agreed deadlines
- Ability to juggle multiple tasks simultaneously without losing attention to detail
- Take pride in presenting things neatly and in a coherent fashion
- Exceptionally diligent and thorough on tasks in a fast-paced environment
