Our client is a leading global professional service business. They have an exciting opportunity for an ambitious individual, who can show initiative on a daily basis. This is an extremely varied role that has a vast number of responsibilities, working alongside multiple Executives and Senior Management.
The role of the Executive Assistant / Office Manager is to provide comprehensive administration support for multiple Executives and Senior Management and managing the facilities and day-to-day office management.
Responsibilities
- Proactively managing calendars and arranging appointments for multiple executives & senior management.
- Researching, compiling, and organising information and official records.
- Managing Executives expenses.
- Arranging travel and complex itineraries for executives and other staff.
- Managing Board calendar and scheduling weekly/monthly meetings
- Main point of contact for Non-Executive Directors.
- Meeting and greeting external guests, announcing their arrival, refreshments and arranging access & car parking as required.
- Answering the main land-line and dealing with all incoming calls and managing general email queries.
- Responsible for arranging notarisation and signatures for all legal documents, and compiling ID documentation.
- General administrative tasks, including postage and ordering office supplies.
- Personal administration work for Shareholders as required.
Requirements
- Ideally a minimum of 3 years experience in an EA/ PA role supporting senior level executives, private PA work is desirable
- Ability to communicate effectively and build rapport with a wide range of colleagues and external clients.
- Managing multiple dairies and schedules and coordinating complex itineraries.
- Ability to manage own time and personal administration in an effective way.
- A flexible approach to working as business demands.
- Proficient in Microsoft office, Excel, Word & PowerPoint.
- Excellent research skills
- Efficiently take minutes at Management meetings, and disseminate in a timely manner.
- Must have the experience and the ability to write creatively and professionally on behalf of the company.
- Ability to work in a confidential and discretionary way.
- Accurate with a meticulous eye for detail.
- Ability to show initiative, support colleagues, and multi-task.
- Able to work with minimum of supervision, manage own workload, meet deadlines determine priorities and deal with multiple demands.
