Daily rate: £16 to £19 per day + Holiday pay (depending on the number of days and experience)
Working hours: 9am – 5.30 pm
This is a fantastic opportunity to a join one of the world’s largest and most successful companies. The Administrative Assistant will support a Global Director and their Executive Assistant. We are looking for a bright and motivated candidate who will be organised, can communicate clearly and effectively and is able to demonstrate the ability to respond quickly to ever-changing workloads and priorities. High attention to detail with the ability to meet tight deadlines and manage multiple assignments is critical. This position will work closely with the Director’s Executive Assistant to facilitate key team activities and projects, however the ability to work independently and collaboratively with a strong sense of ownership, bias for action, and customer obsession is highly valued.
Other responsibilities will include:
- Pro-actively support with calendar invites to include team meeting agendas and workback plans
- Attend key meetings, to track and help drive completion of key deliverables and follow up on outstanding items
- Manage expense report coordination and submission
- Support with domestic and international travel, building full travel itineraries
- Help propose, organise, and assist with team engagement initiatives such as Newsletters, Lunch & Learns
- Support with Town Hall facilitation including prep meetings, speaker scheduling, and deck edits/management
- Assist with managing team office space, including moves and reconfigurations
- Audit team organisational charts, internal communication websites and team alias’,
- Work closely with other assistants throughout the team and across the rest of the company
- Handle confidential information with discretion
BASIC QUALIFICATIONS:
- Experience in administrative support such as executive assistant, PA, office support
- Excellent English ideally to mother tongue standard
- Experience with Microsoft Office Suite
- Excellent written, verbal, and interpersonal communication skills
- Strong time management and organisational skills
- Ability to prioritise and handle multiple assignments at any given time
- Highly motivated with a can-do positive attitude
- Good sense of humour
