Leading consulting company focused on downstream energy industry sector. The principal activities of the company are providing consultancy services and conducting studies in the oil refining marketing and power distribution sector.
The role focuses on administrative work but includes element of customer service and marketing. Reporting to the Executive Directors and the Marketing Manager the Administrative Coordinator is responsible for:
*Answering and making calls in English and French. Dealing with requests in both languages via email, fax and over the phone. Forwarding emails and calls to relevant members of staff when necessary
*Developing relationships with suppliers to ensure great collaboration and that rates achieved are competitive
*Dealing with all travel arrangements for staff, consultants and clients.
*Organisation of training courses.
*Updating contacts and inputting data into the CRM software, as well as cleansing existing data and extracting data for admin and marketing purposes
*Document typing, presentation layout and formatting of reports using InDesign software
*Dispatching documents and course materials by post and courier
*Ordering office and printer supplies, keeping cupboards organised
*General administrative work, meeting and greeting of clients
*Day-to-day running of the office, liaising with services providers and building manager
The position would be of interest to someone who:
*Is a bilingual English/ French speaker
*Has excellent communication and secretarial skills with great attention to detail
*Has outstanding organisation and time management
*Has good IT skills, including MS Word, Excel, PowerPoint – Knowledge of InDesign would be a plus
*Is interested in people and problem solving
*Is a team player, an outgoing self-starter who likes to work in a small company
