Salary: £12 – £14 per hour (Equivalent to £24,000 – £27,300 per annum)
Start: 3rd December 18
Expected duration: until 2nd January (May extend or move permanent)
Working hours: Monday – Friday 9.00am – 5.30pm
Location: Central London
A new temporary vacancy has arisen for a fluent English-speaking Secretary to join a Private Healthcare Provider and provide high level secretarial and administrative support to Medical Professionals. You will be working in a busy environment which will involve managing and editing of medical documentation, office administration, and senior staff support.
You will need to be resilient, able to cope with a heavy workload, be very organised, methodical, a multi-tasker with a keen eye for detail, who can keep calm under pressure and is used to responsibility.
The role
This is a very involved role where you will be assisting Notaries in the German department.
Duties and responsibilities:
*Providing high level secretarial and administrative support (diary management, booking appointments, client liaison, responding to emails, dealing with post)
*Managing own work allocation, productivity and quality of work with minimum supervision
*Checking all information is accurate and complete at all times
*Managing the maintenance and tracking of patient records.
*Ensuring that all clients are dealt with efficiently and politely when visiting the office and also over the telephone/email.
*Answering all telephone calls efficiently and politely and take messages, as necessary
*Ensuring that all internal methods, systems, policies and procedures are adhered to.
*Assisting in general office administration and in the locating of files when necessary.
Candidate profile
*Fluent English to a high standard
*Self-motivated professional, able to organise own work load with minimum supervision.
*Able to cope effectively in demanding circumstances and with heavy workloads.
*Good time management, with a strong ability to prioritise.
*Possess excellent communication skills by telephone and face to face.
*Must have a keen eye, with very good attention to detail, accuracy and quality of work.
*Candidates will need to demonstrate a high degree of integrity and confidentiality
*Possess excellent problem-solving skills and demonstrate sound judgement and good decision making when dealing with problems.
Experience Required
*Fully Computer literate with good keyboard skills and a working knowledge of various software packages. E.g. MS Office – MS Word etc.
*Recent experience of working as a secretary, office manager, PA, providing administrative office support (preferably as a medical secretary, but experience in other sectors will be considered)
*Practical experience of handling client enquiries both by telephone and face to face.
