We are looking for an enthusiastic, well-organised and proactive EA / Administrative Assistant to join a fast-paced and successful property team. This role plays an important part within the Sales team and supporting the Managing Director.
The ideal candidate needs to be highly organised, very proactive, with a can-do attitude and a very good eye for detail and strong accuracy. A strong and fluent command of the English & French languages (both written and spoken) is essential. Within others, your responsibilities will be:
- Working closely with the Managing Director, providing administrative and secretarial support.
- Updating information and descriptions on the website
- Sending brochures and paperwork to clients when requested
- Updating internal availability lists of the properties they have for sale
- Answering and forwarding/transferring phone calls
- Writing/responding to emails, taking messages
- Liaising with clients and partners and answering any queries in a professional and polite manner.
- Setting up files and maintaining them throughout the progress of all sales.
- Updating and maintaining all Property records
- Liaising and working closely with the French office
- Dealing with urgent queries via phone and email
- Ensuring that the properties database and records are up to date
- General secretarial support and diary management
Requirements:
- Fluent French and English
- The ability to set and achieve personal goals, while working successfully within a team
- Able to multitask, prioritise and organise your workload
- Insight into online marketing, advertising and SEO (Search Engine Optimisation)
- Personal initiative and problem-solving abilities
- Ability to work within deadlines and manage heavy workloads whilst remaining calm
- Attention to detail and accuracy
- A confident telephone manner
- Effective written and spoken communication skills both in French and English
- Experience in general office administration
- The confidence to take responsibility for your own actions and the actions of others
- Strong MS Office experience
- Ability to work independently and be self-motivated
- Adaptability – able to manage conflicting priorities
- Good team player, confident in dealing with people at all levels throughout the business
